This Privacy Policy applies to GovSource Public Safety LLC websites, forms, portals, programs, events, communications, products, and services that display or link to this policy, collectively referred to as the Services.
Some Services may include an additional privacy notice, agreement, authorization, or agency specific disclosure. When another notice applies to a particular activity, that notice supplements this policy and controls for that activity if the terms conflict.
Scope and our role
GovSource provides public safety recruiting, candidate support, certification and training support, testing and assessment services, professional education, technology, events, subscriptions, and related workforce services. The information we process depends on how you interact with us and which Service you use.
In some situations, GovSource determines why and how personal information is processed. In other situations, we process information on behalf of a law enforcement agency, public safety organization, training partner, or other customer. When we act on behalf of an organization, that organization’s instructions, privacy notice, public records obligations, and agreement with GovSource may also apply.
This policy does not apply to independently operated websites, platforms, agencies, or services that do not display or link to this policy.
Information we collect
Depending on your relationship with GovSource, we may collect the following categories of information:
Contact and identity information
Name, email address, telephone number, mailing address, account identifiers, organization, and preferred method of contact.
Professional and agency information
Employer or agency, job title, rank, work history, assignments, qualifications, licenses, credentials, and professional interests.
Candidate and eligibility information
Applications, service history, education, training records, certification information, uploaded documents, declarations, referrals, and status information.
Training and assessment information
Course registrations, attendance, completion records, test or assessment information, issued credentials, survey responses, and support requests.
Account and transaction information
Login information, service selections, orders, subscriptions, invoices, payment status, transaction history, and limited billing details.
Communications and submitted content
Emails, messages, call notes, form responses, files, photographs, videos, testimonials, event content, and other information you choose to provide.
Device and usage information
Internet Protocol address, browser, device type, pages visited, referral source, dates and times, interactions, and similar technical information.
Sensitive information
Government identifiers, signatures, background related records, or other sensitive details when necessary for an authorized Service or legal requirement.
Please provide only information that is accurate, relevant, and requested for the Service. Do not submit confidential agency information, criminal justice information, protected health information, passwords, or unnecessary sensitive information through a general contact form, chatbot, email, or public facing feature.
Payment information: Payment card details are generally collected and processed directly by an authorized payment provider. GovSource may receive transaction confirmation, payment status, amount, billing contact information, and limited payment details needed for accounting, support, refunds, and fraud prevention.
Sources of information
We may receive personal information from:
- You, including through forms, accounts, purchases, registrations, applications, messages, uploads, surveys, and events.
- Your employer, referring agency, training center, educational institution, professional reference, or authorized representative.
- Agency customers and partners when GovSource supports recruiting, training, testing, candidate management, or another contracted program.
- Service providers that support payments, hosting, communications, forms, scheduling, analytics, security, customer support, and related operations.
- Publicly available sources, professional directories, agency websites, and social media when relevant to a legitimate business purpose.
- Your browser or device through cookies, logs, and similar technologies when you use our online Services.
How we use information
GovSource may use personal information to:
- Provide, administer, personalize, and support the Services you request.
- Review candidate, professional, training, certification, eligibility, or program information.
- Manage accounts, registrations, attendance, assessments, credentials, orders, invoices, subscriptions, and payments.
- Communicate about service status, documentation, appointments, classes, events, opportunities, support requests, and account matters.
- Support agency recruiting, candidate engagement, workforce development, testing, training, and administrative workflows.
- Verify identity, eligibility, records, attendance, credentials, and compliance when authorized.
- Operate, maintain, secure, troubleshoot, evaluate, and improve our websites, portals, programs, and business processes.
- Detect and prevent fraud, misuse, security incidents, unauthorized access, and other harmful activity.
- Send news, educational information, event announcements, or service information where permitted, subject to your communication choices.
- Comply with contracts, subpoenas, court orders, public authority requests, record obligations, and applicable law.
- Establish, exercise, or defend legal claims and protect the rights, safety, and property of GovSource, our customers, and others.
- Create aggregated or deidentified information that does not reasonably identify an individual.
GovSource uses sensitive personal information only as reasonably necessary to provide an authorized Service, verify records, maintain security, meet legal obligations, or for another purpose permitted by law. We do not use sensitive information to infer personal characteristics unrelated to the requested Service.
Artificial intelligence and automated tools
Certain GovSource Services may use artificial intelligence or automated tools to assist with drafting, summarizing, organizing information, answering approved questions, supporting communications, identifying workflow tasks, or improving service delivery.
AI output may be incomplete or inaccurate and must be reviewed by an authorized person. GovSource does not use AI output as the sole basis for a final employment, hiring, certification, licensing, background investigation, disciplinary, or other similarly significant decision. Agencies and authorized officials retain decision making authority.
Prompts, inputs, outputs, and related usage data may be processed and retained as necessary to provide the feature, maintain security, investigate misuse, deliver support, and improve the applicable workflow, subject to customer agreements and system settings.
Use care with AI features: Do not enter criminal justice information, protected health information, account passwords, payment card data, Social Security numbers, confidential investigative material, or other restricted information into an AI feature unless GovSource or your agency has expressly authorized that use and provided an approved secure process.
Agency programs, candidates, and public records
If you submit information for an agency program, recruiting opportunity, eligibility review, testing process, training activity, referral, or other public safety service, GovSource may provide relevant information to the participating agency or authorized organization.
A public agency may be subject to federal, state, or local public records, retention, disclosure, employment, certification, or administrative requirements. Information received or maintained by an agency may therefore be handled under that agency’s policies and legal obligations. GovSource does not control how an independent public agency responds to a lawful public records request.
Unless a form expressly states otherwise, submitting information to GovSource does not create employment, guarantee selection, establish certification, or constitute a final agency application. Agencies, regulators, training centers, and authorized officials make their own decisions under their applicable standards.
Cookies, analytics, and online technologies
GovSource and our service providers may use cookies, pixels, tags, logs, and similar technologies to keep Services functioning, remember preferences, secure accounts, understand website performance, measure engagement, improve content, and evaluate outreach.
These technologies may include:
- Essential technologies needed for security, network management, forms, logins, and core site functions.
- Functional technologies that remember preferences and support enhanced features.
- Analytics technologies that help us understand traffic, navigation, performance, and use of the Services.
- Advertising or outreach technologies used, where applicable, to measure campaigns or provide relevant information.
You can adjust browser settings to block or delete cookies, but some Services may not function properly as a result. Where required by applicable law, we will recognize legally valid browser based opt out signals, such as Global Privacy Control. Because there is no uniform standard for all browser based Do Not Track signals, our Services may not respond to every such signal.
Data retention
We retain personal information for as long as reasonably necessary for the purpose for which it was collected, to provide and document Services, maintain accurate records, manage accounts and transactions, comply with contracts and law, resolve disputes, enforce agreements, and protect security and legal rights.
Retention periods vary based on the type and sensitivity of information, the applicable Service, customer or agency instructions, certification or training requirements, public records obligations, limitation periods, and legal or regulatory duties. We may retain aggregated or deidentified information that cannot reasonably be linked to you.
Information security
GovSource uses reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. Safeguards are selected based on the nature of the information, the Service, and reasonably foreseeable risks.
No website, transmission, storage system, or security measure is completely secure. You are responsible for protecting your account credentials, using a unique password, enabling available security features, and promptly notifying us if you suspect unauthorized access. If a security incident requires notice under applicable law, GovSource will provide notice as required.
Your privacy rights and choices
Depending on where you live and subject to applicable exceptions, you may have the right to:
- Confirm whether we process your personal information.
- Request access to or a copy of certain personal information.
- Request correction of inaccurate personal information.
- Request deletion of certain personal information.
- Request information about categories of information collected, used, or disclosed.
- Request portability of certain information in a usable format.
- Opt out of qualifying sale, sharing, targeted advertising, or certain profiling where applicable.
- Limit certain uses of sensitive personal information where applicable.
- Appeal our response to a privacy request where the law provides that right.
- Receive equal service and not be discriminated against for exercising an applicable privacy right.
To submit a request, email info@govsource.com with the subject line Privacy Request. Include your name, state of residence, email address, relationship with GovSource, and the right you wish to exercise. Do not send government identification or other sensitive documents unless we specifically request them through a secure method.
We may need to verify your identity and authority before completing a request. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and direct verification with the individual. Some records may be exempt from a request or must be retained to comply with legal, contractual, agency, security, transaction, or record keeping obligations.
If GovSource holds information solely on behalf of an agency or other customer, we may direct your request to that organization because it controls the information and applicable decision. To appeal a denied request where an appeal right applies, reply to our response with the subject line Privacy Appeal and explain your concern.
Email, text messages, and communication choices
You may unsubscribe from marketing emails by using the unsubscribe link in the message or contacting us. Where text messaging is offered, you may opt out of recurring promotional messages by replying STOP. Message and data rates may apply.
Even after you opt out of marketing, we may send nonpromotional communications related to an active account, transaction, class, event, application, document request, security matter, policy change, or Service you requested. Your carrier, email provider, agency, or employer may maintain separate communication preferences that GovSource does not control.
Children’s privacy
GovSource Services are generally intended for adults, professionals, agencies, and individuals pursuing public safety training or employment. We do not knowingly collect personal information online from a child under 13 without legally sufficient authorization. If you believe a child has provided personal information in violation of applicable law, please contact us so we can review and take appropriate action.
Third party services and links
Our Services may link to or integrate with third party websites, social networks, payment processors, scheduling systems, video platforms, agency websites, learning tools, or other services. Their privacy practices are governed by their own notices and are not controlled by this policy. Review the privacy terms of a third party service before providing information.
GovSource is based in the United States. If you access the Services from another country, information may be processed in the United States or another location where GovSource or an authorized provider operates, subject to applicable safeguards and law.
Changes to this policy
We may update this Privacy Policy as our Services, technology, vendors, legal requirements, or data practices change. The updated policy will be posted on this page with a revised effective or last updated date. If a change is material, we may provide additional notice through the website, a Service, or direct communication when appropriate.
